10 Questions to Ask a Venue Before You Book
The right venue can make your event unforgettable. The right questions can make sure you actually enjoy planning it.

You’ve browsed the photos, toured the space, and pictured your guests mingling under the string lights. You’re ready to say yes. But before you sign anything, there are a few important questions to ask a venue first. The difference between a stress-free event and a logistical headache usually comes down to what you did (or didn’t) ask before you booked.
Whether you’re planning a corporate holiday party, a milestone birthday, a rehearsal dinner, or a company offsite, these are the questions to ask a venue before you commit. They’ll help you feel confident in your choice and avoid surprises on the big day.
1
What’s included in the rental fee, and what costs extra?
This is the single most important question you can ask, and it’s the one that catches people off guard most often. A rental fee might cover the space itself but not the tables, chairs, linens, or basic AV. Some venues include a house sound system and on-site staff. Others charge for every add-on separately.
Ask for a full breakdown. What comes standard? What’s available at an additional cost? Are there service charges or administrative fees on top of the quoted rate? Getting this in writing early keeps your budget intact and lets you compare venues on a true apples-to-apples basis.
2
What’s the capacity, and how flexible is the layout?
Capacity isn’t just a number. It’s about how the space actually works for your event. A venue that holds 200 for a standing cocktail reception might only seat 80 for a plated dinner. Ask about the different configurations available: theater-style, banquet rounds, cocktail with scattered high-tops, lounge seating.
Think beyond fit and consider flow, too. Is there room for a bar setup, a DJ booth, a photo area? Can guests move between indoor and outdoor areas naturally? The best layouts feel effortless, and that starts with asking how adaptable the space really is.
3
What’s your food and beverage policy?
Food and beverage is often the largest line item in an event budget, so you want to understand how the venue handles it. Some venues have in-house food & beverage with set menus and per-person pricing. Others allow outside caterers. A few are fully flexible.
A few good follow-ups here: Is there a minimum spend? Can you bring your own alcohol, or is there a corkage fee? Do they accommodate dietary restrictions? Are tastings available before you commit? Understanding these policies upfront gives you the clearest picture of your total event cost.
Pro Tip
Keep a simple spreadsheet as you tour venues and use these questions to ask a venue as your checklist. Track what each rental fee includes, what costs extra, and whether there’s an F&B minimum. It’s easy to mix up details after your third or fourth walkthrough, and side-by-side comparisons make the decision so much clearer.
4
What’s the cancellation and rescheduling policy?
Nobody plans to cancel, but plans change, and it’s better to know your options before you need them. Ask how far in advance you can cancel or reschedule with or without a penalty, whether your deposit is refundable (and under what conditions), and what happens if the venue has to cancel on their end.
Some venues offer partial refunds on a sliding scale; others hold the full deposit regardless. A clear cancellation policy protects both sides and makes sure you’re not locked into something that doesn’t work.
5
What are the setup and teardown windows?
Your event doesn’t start when the doors open. It starts when the first vendor arrives to set up. Ask how much time you get before and after the event for load-in and breakdown. Some venues build generous setup windows into the rental, while others charge by the hour for any early access.
This matters most if your event involves custom decor, a live band, or anything that takes more than a quick arrange-and-go. Knowing your timeline upfront helps your vendors plan, too, and it means nobody is rushing to get everything in place five minutes before guests walk in.

6
Can I bring my own vendors, or is there a preferred list?
Vendor flexibility is a big deal. Some venues require you to use their in-house catering, bar service, or AV provider. Others have a preferred vendor list you can choose from, and some let you bring whoever you want as long as they meet insurance and licensing requirements.
Neither approach is inherently better. In-house teams often know the space inside and out, which can actually simplify logistics. But if you have a caterer, florist, or DJ you love working with, you’ll want to know upfront whether that’s an option.
7
What AV and tech support do you offer?
If your event involves a presentation, live music, or even just a curated playlist, the venue’s AV setup matters. Ask what’s available in-house (microphones, speakers, a projector, screens, monitors) and whether there’s a tech team on-site to help run it.
Don’t forget the basics, either. Is there reliable Wi-Fi for your guest count? Are there enough electrical outlets where you need them? For corporate events especially, AV hiccups can derail an otherwise flawless day. A quick walkthrough of the tech setup is always worth the time.

8
What’s the parking and transportation situation?
Guest logistics don’t end at the venue door. Ask about on-site parking (and whether it’s complimentary or paid), valet options, and proximity to ride share drop-off points. In Austin, where downtown parking can be an adventure, this one is especially worth asking.
If your event is in a walkable neighborhood or near public transit, that’s a plus worth noting for your guests. For larger events, it’s also smart to ask whether nearby lots or garages can handle overflow and whether the venue has any shuttle or transportation partnerships.
9
Is there an on-site coordinator or point of contact on event day?
Of all the questions to ask a venue, this is one that doesn’t feel important until it really, really is. Having a dedicated venue contact on event day, someone who knows the space, the systems, and the quirks, can be the difference between a minor hiccup and a major headache.
Ask who your point of contact will be, whether they’ll be on-site for the full duration, and what their role actually covers. Do they handle vendor coordination? Can they troubleshoot the sound system? Will they manage the space during your event so you can actually enjoy it?

Working with a booking partner means you don’t have to figure all of this out alone. At The Venue Collective, we already know these answers for every one of our partner venues, so you can skip the guesswork and focus on what your event actually looks and feels like.
10
What are the noise, decor, and time restrictions?
Every venue has its own set of house rules, and knowing them before you book saves you from awkward conversations later. Ask about noise ordinances and curfew times, especially if you’re planning a late-night event or one with a live band or DJ. Some Austin venues have hard cutoffs at 10 p.m. while others can keep the music going until 2 a.m.
Decor restrictions are worth asking about, too. Can you use candles? Hang things from the ceiling? Bring in a fog machine? (We don’t judge.) The more creative your vision, the more important it is to ask a venue what’s allowed and whether anything needs special approval.
Know What to Ask a Venue and Book with Confidence
A gorgeous space is a great start, but the venue that’s truly right for your event is the one where the answers to these questions line up with your vision, your budget, and your timeline. Knowing the right questions to ask a venue doesn’t make you high-maintenance. It makes you prepared.
